  • Overview

    The Media Services Coordinator acts as an asset hub for all scheduled content. The Media Services Coordinator is responsible for ensuring all assets are ordered and received on time, inventoried and accounted for within internal content management systems, staged for encoding for monthly processing and archived properly. The Media Services Coordinators are the media liaisons for the monitoring, reporting and troubleshooting, of all media throughout the different Vubiquity workflows.


    • Query and research internal content management systems to determine content availability (i.e. physical media in-house versus new orders).
    • Creation of workflow tickets for the ordering and tracking of each individual media asset. 
    • Liaise with studio and independent content providers for the placement of orders.
    • Management and tracking of new orders placed with content providers to ensure timely delivery.
    • Access individual content providers dedicated Ingest sites for the download or pull of digital files.
    • Oversight of  proxies Creation and management of  proxy delivery to 3rd party vendors for foreign language closed captioning.
    • Run daily tracking reports for monitoring of all scheduled Vubiquity content.
    • Oversee the maintenance of internal databases by logging received media assets accurately.
    • Responsible for the staging and logging of media assets based on different media received (i.e. hard drive, tape delivery, digital files) and providing special handling instructions for encoding (i.e. outputs, bumpers, ratings).
    • Collaborating with Billing Department for the accuracy of billable transactions.
    • Collaborating with Content Operations and Programming for required updates for metadata.
    • Communication with content providers for faulty media sources and receipt of replacement assets.
    • Oversee archiving of media sources.
    • Management of tape vault on and offsite locations for physical media.

    Additional Responsibilities:

    • Run reports for determination of the need to keep, return or degauss tapes.
    • Timely delivery of tapes and hard drives to content providers as required.
    • Maintenance of trailer reel library.


    • Extreme attention to detail.
    • Excellent proof reading skills.
    • Extremely organized with exceptional follow-through skills.
    • Become an authority on new codecs and workflows as technology evolves.
    • Familiarity with FTP, and Signiant Aspera clients.
    • Strong team player who can build strong relationships at all levels of the organization.
    • Have excellent communication skills - written, verbal, presentation and interpersonal.
    • Bachelor’s Degree or equivalent work experience (2 years).
    • Experience with physical and digital media.
    • Access knowledge desired.
    • Experience navigating through databases.
    • Ability to work with strict deadlines.
    • Ability to work independently as well as within a team environment.
    • Proficient in MS Excel, Word, and Outlook.
