  • Overview

    The Media Services Assistant is responsible for the storage, tracking and record keeping of all new and legacy content held at Vubiquity. They will also manage all digital/physical assets intended for use at any stage of the company’s internal workflow.


    • Liaise within the Media Services Department, and other Departments as necessary, to ensure that content within the multiple VBQ internal systems are documented correctly and escalating as necessary to other parties if needed.
    • First line contact for enquiries relating to the library and referring enquiries to support staff.
    • Supervise and maintain the storage for all tape and file based content within VBQ’s library and content management systems as needed.
    • Responsible for the day to day running of the Vubiquity Library including scanning Digibetas/Hard Drives in/out, fulfilling Encode Requests, filling in appropriate documentation and updating our Media Tracking System (MTS).  Also includes being the main point of contact for our external Library Facility and managing the weekly courier deliveries.
    • Viewing and dispatch of Adult content for compliance purposes. 
    • Responsible for the implementation of the archive and retention policy relating to tape storage as well as digital storage in Source.  This includes handling the VBQ archiving workflows that we currently have in place as well as ensuring the “cleanliness” of our digital storage library “Source” and escalating any discrepancies back to the relevant party.
    • Independently managing requests from other Departmental Managers via our internal work tool Super JIRA to the company’s satisfaction.  Such requests to include locating files in our internal system VZ if necessary from third parties (Studio Suppliers, Planning), re-naming legacy Source/Mezz files if incorrect, QAing Aspect Ratios/Language checks by request and the movement of Production files internally for processing.
    • Once notified by the relevant Media Services Account Coordinator, tracking the return dates for all “on loan” content within the given timeframe, ensuring Service Delivery have approved all digital files before returning tapes to suppliers and arranging courier with Reception.
    • Assisting with the project to transition to a tapeless environment by confirming if digital files have been created from Digibeta stock content and arranging striping or returning of tapes to their relevant suppliers.
    • Booking in new tapes into the relevant systems as instructed by the Media Services department, ensuring all relevant information is available for the company to view.



    • Must have proven skills within a tape based library and or experience as a runner working closely with a tape library.


    • Excellent organisational and interpersonal skills. 
    • Good computing skills – MS Word, MS Excel. 
    • Excellent attention to detail a must!
