  • Overview

    As part of the Production team, the Bookings Coordinator is responsible for the day to day bookings of all in-house Production facilities (edit suites, audio suites etc). They are also responsible for booking Voiceover Artists and ensuring adequate cover is booked for Post Production Staff. The Bookings Coordinator works closely with the Production Manager to ensure the smooth running of the wider creative team, this may include account specific duties as required. Ability to speak a second language (particularly German) would be an advantage.

    Responsibilities

    • Booking all facilities for internal and external clients.
    • Booking all voiceover artists.
    • Keep ScheduAll up to date with bookings, staff shifts, approved holiday etc.
    • Assisting Production Manager and Head of Production with ad hoc duties.
    • Keeping up to date with all client workflows.
    • Forward planning for facility and freelancer bookings. Advising Production Manager & Head of Production on upcoming requirements.
    • Liaising with Head of Production for HR / IT tickets for freelance Post Production staff.
    • Arranging visitor passes, ensuring that Post Production freelancers have access to the building.
    • Ensure that the Post Production staff have everything they need to perform their role. I.e. a print up of the day schedule, also liaising with other PA’s to ensure that the freelancers have access to all required assets in the correct folders.
    • Account specific duties such as entering projects in ScheduALL, attended voiceover sessions, attending packaging sessions and ordering content.

     

    Qualifications

    • Experience of facility bookings in a broadcast environment or similar.
    • BA/BSC degree required or equivalent experience.
    • Knowledge of ScheduAll advantageous.
    • Familiar with Microsoft Office Suite, especially Excel.
    • Excellent time management and organizational skills.
    • Ability to effectively operate within diverse and cross-functional groups.
    • Strong knowledge of Post-Production workflows.
    • Excellent attention to detail.
    • Ability to accommodate change and adapt accordingly.
    • Excellent communication skills.
    • Highly responsible and self-motivated, able to thrive in an energetic, fast paced entrepreneurial environment.
    • Team player who can build relationships at all levels of the organization.
