Responsible for the smooth running of the Vubiquity reception area and switchboard.


  • Managing the Switchboard – all internal and external calls efficiently
  • Front of house management

- Security figure - monitoring CCTV: particularly persons entering/exiting the building

- Hospitality of visitors/contractors to Vubiquity.

- Logging visitors in and out of the premises

  • Organising meeting rooms and conference calls where needed
  • Ensuring reception is kept neat and tidy at all times i.e. full management of reception area
  • Ordering refreshments for meetings where required
  • Booking and organising couriers and taxis
  • Organising all travel – UK and overseas
  • Handling incoming and outgoing post
  • Notifying facilities when issues arise/are brought to your attention
  • Intercepting all couriers - collections and deliveries
  • Assisting the HR Coordinator/Office Manager with adhoc administrative duties
  • Assisting the Finance Department with administration duties. To include

- Managing and reconciling petty cash

- Posting cheques for Accounts payable (AP)

- Intercepting invoices

- General office duties



  • Experience of working on a switchboard and covering a reception area would be an advantage.

  • This is a job share, the hours are below and it will cover either a morning or afternoon shift
  • Monday to Friday; Hours: 07:30 – 13:30 & 13:30 – 19:30
